HelioCampus, Inc. helps colleges and universities use their data to make better decisions. This policy explains, in plain language, what personal information we collect, why we collect it, and the choices you have. Data that institutions provide to use our platforms is handled under our contracts with them; section 3 explains how.

Our commitments:

We never sell personal information.
We never use student or institutional data for advertising.
Institutions control their data. We use it only to provide the services they hired us for.
We do not train shared AI models on customer data.
Our security program is independently audited against SOC 2 and certified to ISO/IEC 27001.

You can ask to see, correct or delete your personal information, as described in section 7.

1. Information we collect

This section covers information HelioCampus collects for its own purposes. Institutional data is covered in section 3.

Information you give us: your name, work email, phone, institution and job title when you fill out a form, register for an event or contact us.
Account information: if you use one of our platforms, your name, work email, role, login activity and support requests.
Information collected automatically: IP address, browser, device and pages visited, through cookies and similar tools.

2. How we use it

We use the information described in section 1:

To respond to you and provide our services
To run, secure and improve our website and platforms
To send updates and marketing emails (you can unsubscribe at any time)
To meet our legal obligations

3. Student and institutional data
The institution controls its data. We process it only on the institution's behalf and under our contract with it.

FERPA: Where FERPA applies, we act as a "school official" and use education records only as FERPA and our contract allow. We also follow applicable state student privacy laws.
Access: Only authorized HelioCampus staff and vetted subprocessors can access it.
End of contract: We return or delete the data as the contract requires.
Incidents: We promptly notify the institution of any security incident affecting its data.

If you have questions about your own student or employee records, please contact your institution.

4. Artificial intelligence

We do not use customer data to train AI models shared with others, and our AI providers may not use it to train theirs.

5. Cookies

We use cookies to run our website, understand how it is used and measure our marketing, using tools such as Google Analytics and Google Ads. You can manage non-essential cookies through the "Cookie Settings" link in our website footer. We honor Global Privacy Control (GPC) browser signals as a request to opt out of targeted advertising.

6. Who we share it with

Service providers that help us run our business, under contract
Advertising partners, limited to website cookie data (you can opt out)
Authorities, when the law requires it
A buyer or successor, if HelioCampus is part of a merger or acquisition

We never share institutional data with advertisers.

7. Your rights

Depending on where you live, including California and other US states, you may have the right to access, correct, delete or get a copy of your information, opt out of targeted advertising, and appeal our decision. We will not treat you differently for using these rights.

To make a request, email admin@heliocampus.com or call (844) 994-3546. We will verify your identity and respond within 45 days. You may also use an authorized agent.

8. Security and retention

Our security program is independently audited against SOC 2 and certified to ISO/IEC 27001. Controls include encryption in transit and at rest, role-based access, multi-factor authentication, monitoring and staff training. Customers can request our SOC 2 report and ISO certificate under NDA. We keep information only as long as needed for the purposes above, or as our contracts or the law require.

9. Children

Our website is for professionals and is not directed to children under 13. We do not knowingly collect their personal information.

10. Changes to this policy

We may update this policy from time to time. We will post the updated version on this page and change the "Last updated" date above.
