This blog post explains our approach to AI, including our integration of Generative AI (GenAI). We’ll walk you through the five pillars of our AI strategy as we shape the future of higher education alongside our clients and partners.

HelioCampus has been using AI in the form of Machine Learning (ML) and predictive models since our company’s inception ten years ago. These technologies power our data-driven analytics to help institutions make more informed decisions around resource allocation, student outcomes, and operational efficiency. This foundation of practical experience and knowledge informs our work now as we have expanded into generative AI technologies and use cases, grounding our technical and functional decisions in lived experience and client collaboration. 

Building on this established foundation of applied AI, our years of practical experience extend to the critical aspects of responsible implementation. This includes a long-standing commitment to evaluating our models for bias and enforcing internal standards that ensure human review of key modeling decisions. Furthermore, our extensive work alongside numerous clients has provided invaluable experience in aligning our solutions with diverse campus standards for data use, privacy, and ethics. These collective experiences have been instrumental in shaping our current perspective on the thoughtful and effective application of AI within our products and in the unique context of each client.

Evolving Governance for the Age of Generative AI

The progression toward GenAI doesn’t mean abandoning established best practices. At HelioCampus, we’ve integrated our existing governance protocols into our new GenAI initiatives to ensure they adhere to the same rigorous standards. This includes highly trained staff coupled with fortified data privacy and security measures to guarantee institutional data remains protected and only used in the proper context while we set the stage to drive major innovation in EdTech.

Our GenAI implementations prioritize data privacy through careful model selection and deployment practices. We use a combination of external and internal tools to balance functionality and privacy.  While we utilize external Large Language Models (LLMs) for the latest advances in GenAI technology, sensitive institutional data is never sent to these external, public LLMs. Instead, we maintain a secure and private internal LLM infrastructure specifically designed to keep sensitive data protected. We retain full control over this internal AI infrastructure and never use sensitive customer data for model training without explicit consent.

 

By consistently learning, adapting, and staying grounded in trusted processes, we’ve evolved our AI strategy to responsibly tackle the promising potential of GenAI while staying accountable to our clients.

2. Human-Centered AI: Empowering, Not Replacing 

A common fear around AI is that automation will lead to job displacement. At HelioCampus, we think about AI differently. Our AI features are designed not to replace humans but to act as tools that augment human capabilities, streamline tasks, and allow professionals to focus on high-impact work. 

 

For instance, our AI tools can reduce the time employees spend on repetitive administrative work by generating summaries of text, retrieving relevant themes from large volumes of documents, or mining actionable insights from complex data. Our AI-driven workflows and processes incorporate a "human-in-the-loop" approach, ensuring human oversight in the design and in the use of the AI-generated output. For instance, our predictive modeling process includes a model explanation step with a Data Scientist to clarify and explain the modeling results. Additionally, our generative AI output screens often allow end users to view the underlying details or assumptions used to generate the results.

For our Machine Learning tools, which currently provide predictive analytics for enrollment management and student success, we actively address potential biases in training data. Recognizing that biased data can inadvertently lead to unequal opportunities, we employ proactive measures such as thoughtful data sourcing, sensitive attribute exclusion, and continuous monitoring to reduce the risk of unintended harm.

 

As GenAI expands our capabilities, we remain vigilant about its ethical dimensions. We prioritize transparency regarding AI-generated material, empowering users to critically evaluate its output. Our ongoing ethical framework emphasizes the continuous mitigation of bias across all AI applications and a steadfast commitment to equity in access and outcomes. This involves persistent evaluation, rigorous testing, and open communication with educators, students, and the wider community. Our aim is to ensure that our AI-driven innovations consistently empower all users in a responsible and ethical manner, a commitment we will uphold as we move forward.

5. Building the Future of Higher Ed

Take curriculum management, for example. Our vision includes agentic AI tools that can assist with curriculum mapping by suggesting relevant connections between courses, learning outcomes, and accreditation standards, significantly reducing the administrative burden on faculty. Similarly, in student success initiatives, agentic AI could not only proactively identify students needing support (something we do now), but also initiate personalized outreach based on predefined protocols, and even coordinate follow-up actions across different departments – all within established institutional workflows.

By deeply understanding and integrating with existing HelioCampus processes, our AI solutions aim to become intelligent partners in managing critical campus operations. We actively involve institutions in our AI roadmap, including exploring these agentic AI applications. By listening to partner feedback through beta programs and advisory panels focused on workflow automation, we continuously refine our tools based on real-world needs. This collaboration helps us build technologies that deliver measurable value by streamlining complex processes and fostering greater efficiency across the institution, ultimately allowing higher education professionals to focus on strategic initiatives and student success.
